Junior Analyst (Full Time, Exempt) Bedminster, New Jersey USA

Department Description:

The Finance Department is responsible for maintaining the books and records of the Company and its subsidiaries and budgeting and forecasting. The Department is also involved in the process of pricing packages for corporate and VIP individuals.

Position Description:

The Junior Analyst is primarily responsible for the functioning of the chargeback process, and assisting the Finance Department to maintain accurate records and reconcile information. In addition, the Junior Analyst will assist the Department in collecting and analyzing data for the Company’s financial decisions. The Junior Analyst will report to the Accounting Manager in order to achieve department and organizational goals and objectives.

Primary Objectives, Duties and Tasks:

  • Assist Accounting Manager and CFO in preparation of custom reports and analysis of various company functioning, including sourcing and checking relevant data, intuitive and accurate presentation of data, and what conclusions can be drawn from that information
  • Download daily on-line sales report from OMS, and merchant settlements from bank accounts; reconcile reports, and investigate exceptions and inform responsible parties as necessary; record all activity in accounting records
  • Responsible for chargeback claim process, including maintaining log and responding to claims
  • Assist with customer service inquiries
  • Approve credits in OMS and prepare entry for accounting records
  • Process credit card transactions including approved chargeback claims
  • Reconcile company credit card accounts and summarize activity for recording in General Ledger
  • Assist in development of Event cost model
  • Prepare customer cost estimates
  • Other duties as reasonably required for the department’s functioning
  • Extended periods of travel may be required for event operations

Required Qualifications and Skills:

  • Bachelor’s Degree in Accounting or Finance
  • Familiarity with credit card processing
  • Proficient in Microsoft Word and Excel including pivot tables
  • Interest in and ability to think through problems, and anticipate questions
  • Extremely organized and strong attention to detail
  • Excellent written and verbal communication skills
  • Strong penchant for accuracy
  • Hands on, team player, and flexible

Desired Qualifications and Skills:

  • Familiarity with Quickbooks
  • Experience with credit card processing
  • Budgeting/forecasting experience

Professional Development:

  • Ability to provide suggestions on improvements to credit card processing activities
  • Expand knowledge to include OMS transactions

Ticketing Manager (Full Time/Exempt) Bedminster, New Jersey USA

Department Description:

The Ticketing Department is responsible for all aspects related to purchasing and management of ticket assets. We work directly with Jet Set Sports and CoSport brands to fulfill client ticket allocations, general public package and individual ticket sales, and handle sales for National Olympic Committee constituents.

Position Description:

The Ticketing Manager is responsible for the entire ticketing operations of Jet Set Sports and CoSport. This includes inventory management for corporate clients and general public, as well as coordinating seating assignments. The Ticketing Manager also manages the complex relationships with International Olympic Committee, International Paralympic Committee, the incumbent Organizing Committees and various National Olympic Committees.

Primary Objectives, Duties and Tasks:

  • Manage inventory in OMS and in OCOG owned Client Ticket Portal
  • Prepare accurate and timely ticket allocations for corporate and individual client programs
  • Manage client-owned ticket assets via OMS and as appropriate in OCOG owned Client Ticket Portal
    • Set up and operate OMS Client Ticket sales via CoSport e-commerce (as appropriate)
  • Review, understand in detail and comment on all provisions of the Ticket Sales Agreement with Host Organizing Committee
  • Prepare all required documents and submit to OCOG for the TSA approval and ATR appointment, working closely with NOCs.
  • Prepare ticket pricing structure, work closely with CFO on proposed currency exchange rates, prepare ticket pricing sheets and submit for the approval to the NOCs and OCOG
  • Sales Reporting & analysis (prior Games) and audit of all ticketing operations with finance
  • Prepare and present initial ticket request and manage ticket inventory on an ongoing basis
  • Prepare ticket pricing and inventory control strategy
  • Manage relationships with various entities (including Olympic Organizing Committees, National Olympic Committees and National Sports Federations)
  • Procure highest quality of tickets possible for major international sporting events
  • Ensure all relevant ticketing contractual obligations are met
  • Increase cost efficiencies by establishing and implementing department’s best practices
  • Prepare inventory for CoSport brand (Hotel and Ticket Packages, THPPs, individual tickets)
  • Provide company-wide support of the entire ticketing operations as it relates to each of the departments within the company
  • Prepare seat assignments for all client groups
  • Responsible for onsite operations, including ticket collections and onsite sales (if any)
  • Maintain company historical data for analysis and reference

Required Qualifications and Skills:

  • 7-10 years’ prior experience in Business Management or Sports Marketing;
  • Bachelor’s degree in business, statistics or equivalent
  • Strong data analysis background
  • Proven experience in pricing, costing, projections, analysis and reporting
  • Experience working in ticketing for an international sporting event or a major sports team
  • Exemplary written skills and ability to clearly communicate ideas
  • Ability to quickly understand and work within new systems
  • Intermediate level skill in MS Project and MS Office

Desired Qualifications and Skills:

  • Highly skilled in Microsoft excel; familiarity with MS Access, CRM solutions
  • Experience working in the hospitality industry
  • Experience working at the Olympic Games and/or FIFA World Cup
  • MBA or Master’s degree in Sports Administration

Professional Development:

  • Enhance and further develop relationships with IOC, IPC, OCOGs
  • Expected to find new ways to reduce/minimize unsold inventory; increase profit margin

Associate, Hotel and F&B Operations - Full Time/Hourly, Bedminster, New Jersey USA

Department Description:

The Hotel, Food & Beverage Operations Department is responsible for all aspects of room inventory procurement, planning, creating and implementing flawless, extraordinary culinary and hospitality experience, management and hotel relations for Jet Set Sports, corporate client programs, consumer programs, and staff accommodations. It also includes the financial management, budget creation and reconciliation to ensure the maximization of assets.

Position Description:

Assist the Department and Assistant Manager with the execution of the daily departmental operational tasks with emphasis on, but not limited to, room management of the overall hotel portfolio, inventory control (with financial reconciliation), host city and hotel research and data entry, standards and procedures, operational planning, and reporting.

Primary Objectives, Duties and Tasks (include, but not limited to):

  • Assist with data entry, inventory management, development, and reporting within the Olympic Management System (OMS).
  • Liaise with hotels; assist with hotel correspondence and communication as needed (room numbers, floor plans, hotel information sheets, program resumes, manifests, and rooming lists).
  • Assist with the management for Additional Budget Items (ABIs) per company policy and procedure.
  • Assist with maintaining fiscal responsibility including invoice tracking and global reconciliation.
  • Office Administrator duties including, but not limited to, office supplies, meeting minutes, filing, research, data research and compilation, preparing, updating and distributing reports, scheduling, etc.
  • May include managing one (1) or more employees on-site at Event Host Cities.
  • Oversee the complete daily operations of one (1) or more hotel properties on-site.

Required Qualifications and Skills:

  • 2+ years of experience working in hospitality or tourism industry
  • Front Office experience with emphasis on room inventory control. Understanding of other hotel departments such as reservations, events and banquets is a plus.
  • Undergraduate degree (BA/BS) preferred; hospitality or tourism related is a plus.
  • Computer literate and proficiency using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Project).
  • Effective and professional written and spoken communication skills (telephone, electronic, face-to-face).
  • Strong public speaking, presenting and leadership skills to effectively direct employees while in a training environment.
  • Ability to work independently, anticipate next steps, take initiative, exercise discretion and sound judgment, and work collaboratively as a member of the team.
  • A passion for learning about different cultures and languages.
  • Valid passport (or ability to obtain one); able to travel for extended periods of time.
